Privacy Policy

Penny answers your phone, so we handle call data on your behalf. This policy explains what we collect, why, and the choices you have.

Who we are

Penny is operated by Penny Labs, Inc. ("Penny", "we", "us"). When you use Penny as a business, you are the controller of your customers' information and we are your processor — we handle that data only to run the service for you. For the account you hold with us (your email, billing details, settings), we are the controller. Questions about this policy go to support@pennyassistant.com.

Information we collect

  • Account information — your name, business name, email, phone number, and the settings you configure.
  • Call content — audio, transcripts, and the details Penny captures from a call (caller name and number, the reason for the call, bookings, and messages).
  • Billing information — your plan and usage. Card details are entered directly with our payment processor; we never see or store full card numbers.
  • Usage and device data — logs, IP address, and basic analytics that keep the service working and secure.

How we use it

We use this information to answer and route your calls, book appointments, capture leads, notify you, bill you accurately, provide support, and keep the service secure and reliable. We do not sell your data, and we do not use the content of your calls to train third-party advertising profiles.

How calls are handled

Penny connects your calls through our telephony provider and uses a speech model to understand and respond in real time. Audio is processed to produce a transcript and the structured details you see in your dashboard. You control how long this content is retained and can delete records from your account. Who we share it with

We share data only with the service providers that make Penny work — telephony, cloud hosting, speech and language models, calendar integrations you connect, and payment processing — each under contract to protect it. The current list is in our Data Processing Addendum. We may also disclose information if the law requires it, or to protect the rights and safety of our users.

Retention

We keep call records and account data for as long as your account is active or as needed to provide the service, then delete or anonymize it within a reasonable period — unless we're required to keep it longer for legal, tax, or security reasons. You can delete individual records at any time from your dashboard.

Your choices and rights

You can access, correct, export, or delete your information from your account, or by emailing support@pennyassistant.com. Depending on where you live, you may have additional rights under laws such as the GDPR or CCPA — including the right to object to or restrict certain processing. We honor those requests and never charge you for exercising them. Penny is for businesses and isn't directed at children.

International transfers

Penny is operated from the United States, and the providers we use may process data in the US and other countries. Where required, we rely on appropriate safeguards (such as the Standard Contractual Clauses) for those transfers.

Changes to this policy

We'll update this page when our practices change and revise the date above. If a change is significant, we'll let you know in the product or by email. Reach us any time at support@pennyassistant.com.
